Introduction

The Encrypt feature in Outlook allows users to protect messages containing sensitive information as well as apply additional restrictions such as disallowing forwarding, modifying, copying, and/or printing.

Please note that this feature alone does not meet HIPAA compliance standards.

  1. While composing a New Email, go to the Options tab.

    • Click Encrypt. You can choose from several additional permissions to apply:

    • Encrypt-Only -- Default standard encryption. The message is encrypted without additional restrictions. Recipients can still forward, print, and copy content.

    • Do Not Forward -- Recipients cannot forward, print, or copy content.

    • Laboure College - Confidential -- Only internal users (i.e. those with an @laboure.edu email address) can access, edit, and share the content with other Labouré users. They cannot, however, copy or print content.

    • Laboure College - Confidential View Only -- Same as Confidential but recipients cannot edit or share content. A message sent with this permission can only be read or deleted by the recipient.

  2. While composing a New message, click Encrypt. To apply additional restrictions, click Change permissions.

  3. If you are unsure as to the legitimacy of an encrypted email that you've received, please forward the email to helpdesk@laboure.edu before opening it. IT will determine whether the email is safe to open. Click Read the message. There are two ways to sign in to view the message: Sign in with a work or school account -- Sign in with your Labouré email credentials. Only do this if the legitimacy of the email has been verified.
    • If you are unsure as to the legitimacy of an encrypted email that you've received, please forward the email to helpdesk@laboure.edu before opening it. IT will determine whether the email is safe to open.

    • Click Read the message. There are two ways to sign in to view the message:

    • Sign in with a work or school account -- Sign in with your Labouré email credentials. Only do this if the legitimacy of the email has been verified.

    • Sign in with a One-time passcode -- Choosing this option will send a numeric passcode to your email. Make sure to check your spam folder if you do not see it.

    • Enter the passcode. The passcode expires after 15 minutes. You will need to request a new passcode if you do not enter it in time.

    • Click Continue.

    • You can choose to remain signed in for 12 hours to avoid needing to enter another code to view the message again. Only choose this option if you are using a private computer.

  4. You can choose to Reply/Reply all and, if allowed by the sender, Forward or Print the encrypted email just like a standard Outlook email.

    • Make sure to Sign Out when finished.
