  2. Column names in your spreadsheet match the field names you want to insert in your mail merge. For example, to address readers by their first name in your document, you'll need separate columns for first and last names.

    • You want at least the recipient's name and their contact email populated in the spreadsheet.

  3. Create the email that you will be sending in Microsoft Word.

  4. In Microsoft Word, click Mailings from the top bar Click Select Recipients Select Use an Existing List...
    • In Microsoft Word, click Mailings from the top bar

    • Click Select Recipients

    • Select Use an Existing List...

    • Select the Excel file that has your address book and merge fields in it

    • Click Ok

    • The two files are now connected

  5. Click to place your cursor where you would like to insert the Merge field in your document Click Mailings Click Insert Merge Field

    • Click Mailings

    • Click Insert Merge Field

    • Select the Merge Field you would like to add

  6. Click Edit Recipient List Recipients with a checkmark will receive the email

  7. You can preview the emails to be sent by clicking Preview Results. Make sure everything is correct Select Finish and Merge

    • Select Send Email Messages...

    • Make sure the emails will be sent to the Email Addresses

    • Type a subject line for the email to be sent

    • Click OK to send the email messages
